FROM USER ACCESS TO INFORMATION, TO MANAGING ENTERPRISE CONTENT.

In the business world today, companies are overwhelmed with the need to create more content quicker, and customized for more end-users than ever before. Therefore, content management has become a hot topic as organizations struggle to manage their content. Their focus is on Enterprise Content from all areas in an organization, in a myriad of formats, PDF, AFP, TEXT, and spreadsheets, etc. This data supports their products, services, and business processes. It also means “getting the right data, to the right people, at the right time”.

There is a very high cost of content creation, management and delivery. Because of the content these users own, the same users find it difficult to manage this data. It’s unfortunate that most organizations do not have a unified content strategy. As we all know, a unified content strategy can help organizations avoid unhappy customers, by managing, distributing and ensuring that this content supports the organizations and customer needs.

Most companies maintain data that is essential and valuable to the performance of their established guidelines. These data resources are regulated by internal policies, state and federal laws that identify types of data and restrictions placed on it. This policy combines federal and state standards, regulations, legislation and establishes responsibilities for all forms of the companies’ data confidentiality, integrity and availability. While data access is critical to the business operations and must be shared, it must also be used with care. It must comply with legislation and protect the user community of big businesses who have an obligation to protect, manage, secure, and control data under its control. From my perspective, access to user data involves some responsibilities, such as; General access, Compliance, Responsibilities, Data Administration, Data Processor, and Data User.

It’s important to take a moment to define the concept of Managing Enterprise Content and Report Management to ensure that we are addressing the same function. The data we are talking about is potentially any type of printable data streams from any Mainframe or Open Systems computer. The management of this data is the automated storage, distribution, archival and disposal of that data from the time it becomes available to the user until sometime in the future, when it is specified or determined that the data can be disposed of.
